The main tasks will be: 

  • Schedule meetings and manage calendar
  • Draft correspondence such as emails, letters
  • Provide timely and responsive administrative support 
  • Arrange and co-ordinate social events, meetings including managing guest lists
  • Take accurate and comprehensive notes at meetings
  • Plan travel including flight bookings, accommodation and ground transportation

  • Control of visitors entry into the Embassy in liaison with the guards as well as receive and direct visitors 
  • Distribute mail and email from the main inbox
  • Coordinate and send out invitations for functions 
  • Assist with updating of the embassy website and the internal MFA site 
  • Office stationery refill 
  • Kitchen/toiletries supplies and supervision of support staff 
  • Receive and direct calls appropriately to the relevant staff, take messages and make outgoing calls 
  • Liaise with relevant kitchen staff in order to prepare tea/coffee, etc.
  • Dispatch mails / parcels 
  • Act as back-up for the receptionist and PA for the Danish Ambassador to Kenya

Required Qualifications

  • A Bachelor’s degree in Business Administration or Business Management. 
  • Excellent command of English Language
  • Minimum 5 years working experience in similar environment
  • Skilled in MS Office programs (Word, Outlook, Excel, PowerPoint), and other relevant programmes and applications as well as ability to quickly familiarize oneself with other IT-systems.

General Description

In the position as Senior Consular Affairs Officer you work in a small team at our Consular Affairs department at the embassy. As the Senior Consular Affairs Officer, you will work on every aspect of the consular work, including those that are more sensitive and complex. You do not merely provide consular services, but you also inform authorities and interested third parties on legislation (and its interpretation) in the assigned field of work, implements specific regulations and performs various sensitive/complex duties.
The senior consular affairs officer fulfills generally formulated assignments (working independently without direct supervision by a superior), enjoying freedom of choice about method of preparation, way of working and implementation. Also, you are granted a large degree of independence as regards personal conduct (in contacts with interested third parties/private individuals) and use of own judgement (assessment of applications for travel documents, for visas and authorizations for temporary stay, etc.).

MAIN TASKS
  • Answering general and specific consular questions on any topic, from simple to complex (visa, passport, option procedures, adoption etc.).
  • Processing of visa (short and long stay) and passport applications,
  • Liaise with the back office at our Ministry of Foreign Affairs in The Hague.
  • Processing legalization requests.
  • Liaise with DNA specialist to take samples, interviewer for family reunification purposes.
  • Conduct civic and naturalization exams.
  • Prepare consular statements for Dutch nationals.
  • Acquire and update knowledge on all possible consular topics.
  • Provide consular assistance to Dutch nationals in need.

WORK ENVIRONMENT
The Embassy of the Kingdom of the Netherlands in Nairobi is, besides Kenya, also responsible for Somalia and the Seychelles. The Ambassador is moreover Permanent Representative to UNEP and UN-Habitat. The embassy is an integrated organization that consists of approx. 50 employees, including attachés from several ministries in the Netherlands. PROGRAMME STAFF – GENDER AND SRHR

Background

The Royal Danish Embassy in Nairobi represents Denmark in Kenya and manages development and stabilization cooperation and follows political developments. The Embassy also promotes green growth and trade between Denmark and Kenya, supports regional cooperation in East Africa, and has a consular and visa section.

The Embassy is seeking to recruit a Programme Staff  – Gender and Sexual and Reproductive Health and Rights (SRHR) who will be part of the Governance and Health Team. The team implements a range of thematic programs under Denmark’s Kenya strategic framework for the period 2021-25. The programme staff will deliver towards the following objective under the Strategic Framework: 

  • Democratic governance, human rights and equitable access to services: Strengthen democratic participation and citizen engagement, protection of human rights, including sexual and reproductive health and rights, access to justice as well as delivery of equitable public services through the implementation of the Constitution and devolution, and Strategic Framework Outcome 

Specifically, the programme staff will be responsible for implementing the development engagement “Accelerate – working towards the three zeros: Strengthened respect for and improved Sexual and Reproductive Health and Rights SRHR and decrease in gender-based violence (GBV)”. In addition, the programme staff will support the aspects of the development engagement on Civil Society, Democratic Governance and Human Rights that relate to gender equality, women’s inclusion, political participation and access to justice.

Reporting: The programme staff will report to the Team Leader of the Governance and Health Team.

Key Responsibilities

  • Responsible for managing the “Accelerate” engagement between the Embassy, Population Service International (PSI), Population Support Kenya (PSK), and Nairobi Gender Violence Recovery Center (GVRC). This includes handling all dialogue, administration, budget/financial and performance management, overseeing monitoring & evaluation (M&E) of this engagement.
  • Serve as the Embassy’s gender Focal Point and work across the Embassy to inform overall political dialogue between Denmark and Kenya and provide support to colleagues and external stakeholders in relation to gender and SRHR.
  • Responsible for timely closing of development engagements.
  • Provide support and back-up to other colleagues as needed.
  • Liaise with other colleagues within the Embassy and the Danish Ministry of Foreign Affairs more broadly to ensure strong linkages and synergies between related programmes and policy efforts on health, human rights, participation, gender equality, women’s political inclusion, empowerment of socially excluded groups such as LGBT+ persons and access to justice.
  • Contribute to Monitoring, Evaluation, Accountability and Learning (MEAL) activities. 
  • Build and actively use a relevant network to take forward the Embassy’s agenda on gender and human rights more broadly, including within government, civil society, development partners, think tanks and research institutions, private sector.
  • Identify opportunities for communication and public diplomacy
  • Participate in coordination meetings and other relevant coordination mechanisms.
  • Plan and conduct periodic field trips to various locations in Kenya.
  • Contribute to reporting and responding to requests from the Danish Ministry of Foreign Affairs and Embassy senior management as well as to the preparation of various high level visits.

Education and Desired Experience

  • Relevant master’s degree (ideally gender studies, development studies, political science, public health or similar).
  • At least 5 progressive years working experience in programme management in gender related aspects of development with good knowledge of results-based management, administration, financial management, monitoring and evaluation.
  • Experience working for and/or interacting with development partners (‘donors’) and/or international or multilateral organizations.
  • Proven and solid understanding of gender (SRHR, GBV, equality, inclusive participation) and the interplay between governance, human rights, health and development.
  • Extensive experience in project management of major development programmes, including project cycle management and notable experience in financial monitoring of large budgets. 
  • Experience with writing analytical briefs and policy notes and with driving policy and programmatic change based on state-of-the-art technical standards.

We are looking to recruit a Senior Human Resource Consultant. The overall role of the Human Resource Consultant will be to provide day to day human resource services and support in the areas of recruitment and human resource consulting per the clients’ requirements as well as source for additional clients and grow the business.

Job Responsibilities

  • Source for recruitment and human resource consulting projects.
  • Meet with clients to understand their recruitment needs;
  • Supervise the recruitment process from creation of the adverts to drafting and presenting a recruitment report.
  • Liaising with clients on selection of candidates to be interviewed and ensuring second interviews with the client are scheduled and subsequently conducted.
  • Scheduling psychometric assessments (if applicable).
  • Following up with clients for final selection of candidate(s).
  • Conducting reference checks on candidates.
  • Liaising with various clients to understand their organizational needs.
  • Carrying out organizational reviews, design and development for various clients.
  • Performing job analysis and job evaluations.
  • Undertaking salary surveys and job grading.
  • Carrying out skills gap analysis/ skills assessment.
  • Developing performance management systems for various clients.
  • Developing human resource policies and procedures.
  • Planning and on occasion delivering training as is requested by the clients.

Office Administration

  • Responding to Request for Proposals, Expressions of Interest, etc.
  • Drafting client contracts, engagement letters for new and existing clients.
  • Supervise the updating of personnel files for internal and outsourced staff.
  • Processing payroll on generating payslips for both internal and outsourced staff.
  • Ensure that clients are invoiced in a correct and timely manner and following up on outstanding payments.
  • Upsell the company services to existing clients.
  • Receiving invoices and subsequently preparing monthly payments;
  • Ensure statutory payments are done on time.
  • Supervise the management of petty cash.
  • Responding to general enquires.
  • Provide weekly reports and other reports to the managing director as requested.
  • Social media and website management.
  • Supervising the junior staff and the office cleaner.
  • Any other duties assigned.

Qualifications

  • Bachelor’s degree in Human Resource Management or relevant field.
  • 3 – 5 years’ experience in a similar capacity.
  • Good knowledge of Microsoft Office Suite.
  • Experience in managing human resource issues for a company with complex and growing human resource needs.
  • Experience working in a customer-focused HR function.
  • Be a member of the Institute of Human Resource Management (IHRM) or any other recognized professional HR body.
  • Possess knowledge and experience of relevant labour laws of Kenya.
  • Experience working in a customer focused HR function.
  • Possess excellent verbal and written communication skills.
  • Strong capacity in managing the recruitment and hiring process for external clients.

Regional responsibility mobilisation of private capital and innovative financing

 The Embassy of Sweden in Nairobi represents Sweden in Kenya, Somalia, Seychelles and Comoros. The Embassy also represents Sweden in UNEP and UN-HABITAT.

The Embassy represents and advances Swedish policies, interests and values in political and economic relations, development cooperation, trade, and investment promotion, and cultural and information matters. It provides consular services to Swedish nationals and migration services to non-nationals.

Sweden has been actively engaged in Kenya for over 50 years.  Swedish development cooperation with Kenya is governed by the strategy for Sweden’s Development Cooperation in Kenya 2021-2025. Swedish development cooperation with Kenya is to contribute to a better environment, limited climate impact and enhanced resilience, the democratic development of society, and better opportunities for poor people to support themselves. Development cooperation is also to contribute to the prevention of conflicts in Kenyan society. In addition, it is to support a transition from development cooperation to broader economic relations. The Kenya Development Cooperation Section at the Embassy has XX staff and is headed by the Head of Section.

 In addition to the grant support, Swedish development cooperation is engaged in the work of Agenda 2030 to enable mobilisation of additional capital for development and encouraging innovative ways of private sector engagement for global poverty reduction. This is done through different instruments, such as guarantees, public-private development partnership, result-based financing and challenge funds. At the Kenya Development Cooperation Section, there are two persons with the regional responsibilities focusing on this; one is responsible to work with Power Africa and energy-related investments and the second one is covering other sectors. The person we are looking for will work under the direct supervision of the Regional Advisor.

 The Embassy of Sweden/Kenya Development Cooperation Section is looking for a Junior Programme Officer responsible for:

Regional mobilisation of private capital and innovative financing

Main duties

  • Analyse markets, sectors, and potential partners to identify possibilities of innovative financing and mobilisation of private capital in different countries in the region.
  • Support senior colleagues in the region in daily tasks such as planning, administrating, and following up on contributions, meetings, and proposals.
  • To support programme officers in the region to identify and analyse opportunities for mobilisation of capital based on the Swedish development country strategies
  • Build relationships and develop networks through interaction and continuous dialogue with a multitude of actors, bilaterally and multilaterally
  • Regional travel might be required

 Academic qualifications

  • Master’s degree in Economics, Business, Market Development or other equivalent academic backgrounds. Alternatively, a bachelor’s degree with at least 5 years of relevant work experience

 Work experience and core competences

  • Previous experience in the development arena or/and in the financial sector, working with either market development, innovative financing, guarantees, result-based finance, challenge funds, Agenda 2030 or other related areas.
  • A minimum of three (3) years of working experience in the above areas.
  • Demonstrable understanding and experience working with national, regional and international market development.
  • Experience in market analysis.
  • Experience in planning and administrating projects or/and programs
  • Good command of both written and spoken English and French
  • Being able to work both independently and in a team

Merits

  • A strong understanding of Market Systems Development (M4P)
  • Knowledge of the development context in general (including institutional structures, key actors, development strategies, etc.) in relation to financing, market development, agribusiness, green growth and trade.

Specific duties and responsibilities
